GP Letters & Medical Objects
When a client is referred to Therapy House via a GP, the clinicians are required to communicate with the GP regarding the client's progress.
GP Letters
When a client is referred to Therapy House via a GP, the clinicians are required to communicate with the GP regarding the client's progress. This communication is sent through Medical Objects via the Admin Team.
Sending A GP Letter:
- Clinicians will write a GP Letter with details regarding their client's progress and save this to GP LETTERS TO SEND.
- To send these through to the GP, open Medical Objects and login.
- Once you have logged into Medical Objects, click on the clinician that has written the GP Letter.
- GP letters must also be written when the client has reached 3 of 4 sessions or 5/6 sessions , indicating they are due for another referral/session pack from their GP. Make another appointment booking next to the client appointment booking as “GP Letter”. Make a note indicating it is for a referral for additional sessions so the clinician knows what they are writing the letter for.
- When logged into Medical Objects, click on Patients, Lookup Patient in the top task bar. Search the last name of the client on the GP Letter. If the client is already in the system, click on their name, if the client is not already in the system, click on the icon of the person and the +. Enter their First Name, Surname and Date of Birth and save.
- Once you have clicked into the clients file, click Create Documents in the top task bar, click Document. This will open a letter page that will need to be filled in with the details on the GP Letter word document. Copy the GP number (located next to the GP’s name in the word document) and paste in the ADDRESSED TO section of the page. Select the GP ensuring it matches with the GP name on the word document. Where it says DOCUMENT TITLE, Select a document title, choose GP referral review/GP letter update. Once all relevant fields have been filled out, copy the entirety of the word document and paste it below into the blank section of the page.
- Ensuring all items are filled correctly, click Send.
- Once the GP Letter has been sent, move the word document from the GP Letters to Send folder to Sent.
- Open Power Diary and search for the client. Open their appointment log and click on the most recent completed appointment. Next to the appointment will be a GP Letter appointment. Right click and click Set to Completed.
- Repeat with all word documents in the folder.
Note: if you are unsure of who has written the GP Letter, click into the word document and check which clinician has signed it at the bottom. If a Provisional Psychologist has written the GP Letter, send these through Dr Amelia.
Medical Objects
Medical Objects is used to send and receive communication between Therapy House and GPs/other medical professionals. We predominately use Medical Objects to send GP letters or reports, and will receive MHTPs from GPs.
Adding A New Provider
If we have a new psychologist who is registered with Medicare, we can add them to our Medical Objects account by filling out this Add Provider Form.
You will need the clinician's Provider Number to create this account.
Removing A Provider
If we have a psychologist finish up with Therapy House, we can remove them from our Medical Objects account by filling out this Remove Provider Form.
