Allocating Administration Time: Clinicians
As clinicians, your rostered hours should include at least 1 hour admin for every 4 client hours.
If you have client cancellations or gaps in your diary, it is expected that you use your clinical judgement to determine how to best utilise the time. The below outlines tasks to be prioritised:
- GP letters
- Responding to client emails or making necessary calls (we encourage minimising out of session contact where ethically possible for clinician burnout)
- Completing letters/reports and diarising billable hours
- Ensuring all notes are up to date
- Creating content for Therapy House social media and website (i.e. videos, blog post, pictures)
- Checking questionnaire/assessment results (session preparation)
- Networking with healthcare providers for referrals
- Closure letters/end of group program letters
- Treatment planning
- Check in with clients who may have had cancellations or drop outs
Allocating Client Time
Administration will work to fill any cancellations in your diary if you have a waitlist. If for any reason, you need to allocate this time to other outstanding tasks, communicate with admin by blocking your calendar accordingly in Power Diary.
It is important you communicate with management if you are having any issues with your client load, the earlier you raise, the earlier we can work together to support.
