Billable Hours

There are certain tasks related to your client work that will classify as billable hours, and thus clients must be well informed about the costs and process prior to completion.

What are Billable Hours?

There are certain tasks related to your client work that will classify as billable hours, and thus clients must be well informed about the costs and process prior to completion.

For appointments, the admin team will inform the client about the costs of intake and ongoing appointments depending on the individual therapist and their qualifications.

Sessions consist of a 50 minutes face-to-face component followed by 10 minutes of note taking.

Administrational billable time is billed in 15 minute increments.

Potentially Billable Tasks

  • Paediatrician/Service Referral
  • NDIS Application form
  • NDIS Recommendation or Review Letter
  • Adjustment Recommendation Letter to a school
  • Access Arrangements and Reasonable Adjustments (AARA) form
  • Centrelink application form
  • Summary report of assessment (see Assessment packages for cognitive or education assessments)
  • Reading or responding to client documents or correspondence (excluding intake) that is 15 minutes or more

Letters and Reports

When clients ask about any of the above or you know something will be required as part of their course of therapy, explain and complete the below:

  1. Inform them that they will be charged your hourly rate (pro rata) and provide them an estimate of the time the discussed task may take
  2. Ask them if there is a relevant deadline and discuss whether this is viable given your availability in power diary
  3. Book the task into your diary
  • If you cannot find the time – email admin to inform how much time you need to complete the task (they may be able to block if there is a cancellation)
  1. Complete the task when possible and upload to client file
  2. Send document to client through Power Diary
  3. Allocate TO DO to admin with the time taken and client details (admin will then complete and send invoice to client)

Non-Billable Client Hours

In some exceptional circumstances, the clinician is required to perform a task related to a client under the APS Code of Conduct that require more than 15 minutes and may take place outside ordinary work hours, but cannot be billed. This may include urgent risk assessments or urgent referrals to government and non-government entities to ensure the clients safety. The clinician is required to document this activity in PowerDiary and inform the Director (Dr Amelia Shay) and/or the Clinical Team Leader (Dr Kaya Beinke).
